Setting up HMRC Online / Government Gateway

Short Answer

Complete the steps at online.hmrc.gov.uk/registration for both you as an individual and your company (known as an ‘organsation’).

Note – HMRC Online is also known as the Government Gateway.

As your accountants we access our own HMRC Online account. This allows us to submit VAT returns and view limited Corporation Tax and PAYE information. It’s often beneficial for companies to register themselves as HMRC make more resources available to the company directly. For that reason we have provided this guidance to get you set up.

You will need two registrations, one for your company and one for yourself (which will provide income tax information) only.


Registering your company

  1. Goto online.hmrc.gov.uk/registration.
  2. Pick Organisation
  3. Tick ‘Corporation Tax (CT)’, ‘PAYE for Employers’, ‘VAT (submit return or change details)’. Click next.
  4. Make note of all the reference numbers and documents you will need. You can find your VAT registration date on your VAT Certificate. Ask your Caprica accountant if you can’t find any of these numbers. Click Next.
  5. Click Next again.
  6. Confirm you have read the terms and conditions and click Next.
  7. Enter your contact details. Click next
  8. Enter a password and remember/note it. Click next
  9. Note down your new Government Gateway ID. Click next
  10. Enter the reference numbers requested on each page. Click Next as required
  11. Wait a week or so for an activation pin to arrive in the post. You should receive a code for each new service you have enrolled in.

Registering yourself

The information above was all for your company. If you are required to complete an income tax return you will also want to register yourself for the income tax section of HMRC Online. You will have to do this separately and therefore have a separate Government Gateway ID.

  1. Goto online.hmrc.gov.uk/registration.
  2. Pick Individual
  3. Tick ‘Self Assessment’. Click next.
  4. Check you have your 10 digit self assessment UTR, National Insurance number and Post Code. Click Next.
  5. Click Next again.
  6. Confirm you have read the terms and conditions and click Next.
  7. Enter your contact details. Click next
  8. Enter a password and remember/note it. Click next
  9. Note down your new Government Gateway ID. Click next
  10. Enter the details required. Click Next as required.
  11. Wait a week or so for an activation pin to arrive in the post. You should receive a code for each new service you have enrolled in.
